An HRMS is bought for one of three reasons: payroll and statutory filing are eating a person’s week, attendance data will not reconcile, or employee records are scattered across spreadsheets. Decide which of those is the actual problem before you look at feature lists, because the products below optimise for different ones. Then check the statutory floor: provident fund registration applies once you employ 20 people, ESIC at 10 employees with a ₹21,000 monthly wage ceiling, and a POSH internal committee is required at 10 employees. Any product you shortlist must handle PF, ESI, professional tax and TDS as a matter of course, and produce Form 16 and Form 24Q. Ask what a five-year total cost looks like, not the headline per-employee rate, and confirm whether implementation, biometric device integration and statutory filing are included or billed separately.
How we picked
Every product was researched from the vendor’s own website and is drawn from the twenty-seven products tagged HRMS on Veritas. Products are normally ordered by the Veritas score, which counts upvotes, moderated reviews and a Bayesian rating; sponsors never affect it. At launch no product has an upvote or a review yet, so every score is tied and a merit ranking would be meaningless. We therefore do not publish a numbered ranking here: products are grouped by the size of company they fit and listed with the facts each vendor publishes. If you have fewer than 50 employees
At this size the deciding factor is usually whether there is a free or very low tier that still covers Indian statutory calculations.
- Kredily (Bengaluru, founded 2017) — free forever with no headcount cap, covering an employee database, web attendance, leave rules, a self-service app and automatic PF, ESI, professional tax and TDS calculation. Payroll OS starts at ₹1,249 a month for 25 employees and adds bank payouts through ICICI Bank, PF and ESI challans and Forms 12BB and 16.
- Zoho People (Chennai, founded 2008) — free up to 5 users; paid editions billed per user per month with a five-user minimum and a 30-day trial. Covers records, onboarding, leave, attendance with facial check-in, shift rosters, timesheets, appraisals, a help desk and an LMS. Indian payroll runs in the separate Zoho Payroll product.
- factoHR (Rajkot, founded 2016) — free up to 20 employees, with a free trial above that. Cloud and mobile; core HR, payroll and compliance, attendance with face recognition and geo-fencing, recruitment, OKR performance, travel and expense and an LMS. Unusually it also handles exempted and unexempted PF trusts, superannuation, gratuity and GPF.
- uKnowva (Mumbai, founded 2016) — free up to 20 users. Sold in two editions, Lite for startups and NGOs and Full for corporates, both quoted on request with a 50-user billing minimum. Claims coverage of more than 150 HR processes, with biometric, QR and geo-fenced attendance and a no-code AI workflow builder.
If you have 50 to 500 employees
This is the band where published per-employee pricing is common and where payroll depth starts to matter more than breadth of modules.
- greytHR (Bengaluru, founded 1994) — ₹2,495 a month for the Essential plan covering the first 50 employees, then ₹45 per employee. The statutory work is the point: PF with ECR files, ESI challans, state professional tax, TDS with eTDS returns and Form 24Q, digitally signed Form 16 and 12BA, bonus and Labour Welfare Fund. Salary payouts run through greytHR PayNow.
- Qandle (Gurugram, founded 2016, part of the MYND group) — ₹79 per employee a month billed yearly, with a ₹3,000 monthly minimum. More than forty modules, biometric, GPS and face-recognition check-ins, eTDS filing, digitally signed Form 16 and 12BA, and the QanBot assistant. Vendor states it serves teams from 10 to 10,000 employees.
- Zimyo (Gurugram, founded 2018) — ₹80 per user a month across three tiers with a 50-user minimum and a 14-day trial. Modular: core HR, attendance and payroll first, then engagement, OKR performance, applicant tracking and multi-entity global payroll.
- HROne (Noida, founded 2016, Uneecops group) — ₹4,950 a month for 50 users plus a per-user rate above that; a separate startup plan covers smaller teams. Claims automation of 127 HR processes; the mobile app is pitched at field and blue-collar staff with geo-tagged selfie attendance and offline mode. WhatsApp and Teams bots are sold separately.
- Pocket HRMS (Mumbai, founded 2004) — ₹2,995 a month for up to 50 employees. Payroll to Indian statutory norms, leave, attendance with geo-location and biometric capture, full and final settlement, recruitment and timesheets, plus the smHRty chatbot and WhatsApp automation. No free trial is offered.
- sumHR — ₹1,428 per employee a year, or free alongside Jupiter Money zero-balance salary accounts. HRIS and org chart, payroll with unlimited salary structures and IT declarations, attendance via web, biometric or GPS-tagged mobile punches, OKR and 360 reviews, HR letters and asset tracking. Recruitment is listed as coming soon.
- Timelabs (Jaipur) — ₹65 per employee a month for the Pulse plan with a fifty-seat minimum, a smaller annual package under 25 staff, and a perpetual on-premise licence above 500. Attendance-led: the vendor sells fingerprint, face, RFID and turnstile hardware alongside the software, with LiveTRAC field tracking and Aadhaar and PAN verification.
If you need on-premise or hybrid deployment
Three of the twenty-seven products offer something other than pure cloud, which matters for BFSI and defence-adjacent employers with data-residency policies.
- Spine HR Suite (Mumbai) — cloud, hybrid or on-premises. Recruitment and onboarding, biometric attendance with shift scheduling, payroll with automatic PF, ESI, PT, TDS, Form 16, gratuity, bonus and LWF, plus expenses, timesheets and a help desk. Integrates with eSSL, Matrix, ZKTeco, CAMS and Tally. Pricing is quote-driven through a partner network.
- Beehive HRMS (Mumbai) — cloud, fully on-premises for offline access, or hybrid keeping sensitive records in-house. Twenty-five-plus modules including face-recognition and geo-fenced attendance, OKR and 360 reviews, travel and expense and surveys. Targets manufacturing, IT, healthcare, BFSI, shipping and retail with complex shift patterns.
- HRMTHREAD (Sensys Technologies, Mumbai, with an Ahmedabad branch) — sold as a per-employee cloud subscription or a perpetual on-premise licence. Payroll with automated challans and returns, Form 16 generation and an employee tax planner, plus geo-fenced biometric attendance. Free trial available.
If you are an enterprise
Above roughly a thousand employees, pricing is quote-only across the board and the questions become multi-country payroll, contractor populations and integration with an existing ERP.
- Darwinbox (Hyderabad, founded 2015) — dedicated payroll engines for India, the GCC, Singapore, Malaysia, Indonesia, Thailand and the Philippines, plus core HR, recruitment, performance, succession, workforce scheduling and people analytics. Vendor cites more than 1,400 customers. No free trial.
- PeopleStrong (Gurugram, founded 2005) — HCM, payroll and workforce management, talent acquisition and talent management, with automatic TDS, EPF, ESI and professional tax calculation and tracking of CBDT, EPFO and ESIC notifications. Integrates with Microsoft Teams, WhatsApp, Naukri.com and LinkedIn.
- ZingHR (Mumbai) — a hire-to-rehire platform with zero-touch attendance and payroll across multiple pay structures and currencies, field and gig workforce management, microlearning in 32 languages and succession planning. Its enterprise page targets organisations above 1,000 employees.
- Keka HR (Hyderabad, founded 2015) — payroll, core HR, time and attendance, hiring, performance and project timesheets on one data model, with pre-built PF, ESI, LWF and TDS reports and multi-state compliance. Plans are quote-driven with a free trial and a marketplace of more than 100 connectors.
